Your Privacy Matters

We believe in complete transparency about how we handle your data. Your financial information stays in your control.

1. Introduction

This Privacy Policy explains how Expenser ("we," "our," or "us") handles your information when you use our mobile application. We are committed to protecting your privacy and ensuring the security of your personal and financial data.

Key Principle: Your expense data is stored directly in your Google Sheets and processed entirely through Google's APIs. We do not operate dedicated servers for processing your financial data. We only store minimal user preferences in Firebase for app functionality.

2. Information We Collect

2.1 Google Account Information

When you sign in with Google, we:

  • Register your account in Firebase using your Google account information
  • Create a Google Sheet in your Google Drive on your behalf (with your authorization)
  • Store OAuth tokens for accessing Google Sheets (stored securely on your device)

2.2 User Preferences (Stored in Firebase)

We store minimal user preferences in Firebase to provide a personalized experience:

  • Default currency setting
  • Custom categories, payment methods, expense templates you create
  • App settings and configurations

2.3 Expense Data (Stored in Google Sheets)

All your expense data is stored directly in your Google Sheets and processed through Google's APIs, including:

  • Expense amounts and descriptions
  • Categories and payment methods
  • Timestamps and currency information
  • Any custom fields you add

Important: Your expense data is processed entirely through Google Sheets API embedded in our app. We do not operate dedicated servers for processing your financial data. Only your preferences are stored in Firebase.

2.4 Insights Feature (Optional)

Our app includes an optional "Insights" feature that provides AI-powered analysis of your expenses:

  • This feature is disabled by default and requires explicit opt-in
  • When enabled, you can upload ALL your expenses in raw form to Google Gemini API
  • Google Gemini provides summary, digest, and suggestions on your spending patterns
  • This data is sent directly to Google's AI services, not stored by us
  • You can disable this feature at any time in app settings

2.5 App Usage Data

We may collect anonymous usage statistics to improve our app:

  • App crashes and error reports
  • App performance metrics
  • Screen views and navigation patterns (anonymized)
  • Feature usage frequency (anonymized)
  • Session duration and app launch frequency (anonymized)

Note: This data is completely anonymous and cannot be linked to your personal identity or financial information.

3. How We Use Your Information

We use your information only to:

  • Register your account in Firebase when you first sign in
  • Create and manage your Google Sheet for expense tracking
  • Process expense data through Google Sheets API (embedded in our app)
  • Store your app preferences for personalized experience
  • Provide optional AI insights through Google Gemini (only if you opt-in)
  • Improve app performance and fix bugs
  • Provide customer support when requested

We do not:

  • Operate dedicated servers for processing your financial data
  • Access or read your expense data beyond what's necessary for the app to function
  • Share your data with third parties (except Google services you authorize)
  • Use your data for advertising
  • Store your financial information on our own servers
4. Data Storage and Security

4.1 Where Your Data Is Stored

Expense Data: Stored exclusively in your Google Sheets. Processed entirely through Google Sheets API.

User Preferences: Stored in Firebase, to provide personalized app experience across devices. We rarely access this data.

AI Insights Data: When you opt-in to the Insights feature, your expense data is sent directly to Google Gemini API for analysis. This data is not stored by us.

We do not maintain any dedicated servers for processing your financial information.

4.2 Security Measures

  • OAuth 2.0 authentication with Google
  • Secure token storage on your device
  • No data retention on our servers

4.3 Your Control

You have complete control over your data. You can:

  • View, edit, or delete your data in Google Sheets
  • No proprietary formats, complete portability.
  • Revoke app access at any time through your Google account
  • Delete your account using the "Delete Account" button in Settings, which removes your preferences and account information from our side
  • Delete your Google Sheet manually from Google Drive if you want to remove the expense data
5. Third-Party Services

5.1 Google Services

We integrate with several Google services:

  • Google Sheets API: For storing and processing your expense data
  • Google OAuth: For secure authentication
  • Google Gemini API: For optional AI-powered expense insights (only if you opt-in)

Your use of these services is subject to Google's Privacy Policy and Terms of Service.

5.2 Exchange Rate Data

For currency conversion, we may access real-time exchange rate data from third-party providers. This data is used only for calculation purposes and is not stored.

5.3 Analytics

We use PostHog for anonymous analytics to improve our app. This service does not collect personal or financial information.

6. Your Rights

You have the right to:

  • Access your data (stored in your Google Sheets)
  • Correct or update your data
  • Delete your data (by deleting your Google Sheet)
  • Export your data in any format
  • Withdraw consent (by revoking app access)
  • Request information about data processing

Since your data is stored in your Google Sheets, you have direct control over it and can exercise these rights independently.

7. Children's Privacy

Our app is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately.

Age Restrictions: Our app is designed for users 13 years of age and older. We rely on app store age ratings and parental supervision to prevent children from using our app.

If we become aware that we have collected personal information from a child under 13 without parental consent, we will take steps to delete such information from our servers and Firebase database.

For users in the European Union, our app is not intended for children under 16 years of age, in accordance with GDPR requirements.

Parental Rights: If you are a parent or guardian and discover that your child has used our app, you can contact us to have their data removed. We will require verification of your relationship to the child.

8. Legal Basis for Processing (GDPR)

For users in the European Union, we process your personal data based on the following legal grounds:

  • Consent: When you link your Google account and opt-in to the Insights feature
  • Legitimate Interest: For collecting anonymous analytics to improve our app performance and user experience
  • Contract Performance: To provide the core expense tracking functionality you have requested

You have the right to withdraw your consent at any time by revoking app access through your Google account settings.

9. International Data Transfers

Your data may be processed on servers located outside your country of residence:

  • Firebase (User Preferences): Google's Firebase service may process your preferences on servers located in the United States and other countries where Google operates data centers
  • PostHog (Analytics): Anonymous usage analytics may be processed on PostHog's servers, which may be located outside your country
  • Google Services: Your expense data and account information are processed by Google's services, which operate globally

These transfers are necessary for the provision of our services and are protected by appropriate safeguards, including standard contractual clauses and the service providers' own privacy and security measures.

10. Data Retention

Expense Data: We do not retain your financial data on our servers. Your expense data remains in your Google Sheets for as long as you choose to keep it there.

User Preferences: Stored in Firebase until you delete your account using the "Delete Account" button in Settings or request data deletion. When you delete your account, we remove your user preferences and account information from Firebase, and log you out. These preferences help provide a consistent experience across your devices.

When you delete your account or revoke access, we immediately lose the ability to access your Google Sheets, effectively removing all access to your expense data. If you want to delete the Google Sheet that was created by Expenser, you'll need to delete it manually from your Google Drive.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy in the app and updating the "Last updated" date.

Your continued use of the app after any changes constitutes acceptance of the updated Privacy Policy.
